Bespoke softwarebuilt aroundyour business

We design and build software for one business at a time: portals, quoting tools, helpdesks, and stock and warehouse systems that your team logs into and uses every day. Each one is designed to save the business time and money. AI is built in where it helps, such as sorting support tickets, reading emailed enquiries into quotes and drafting replies for a person to approve.

Who it’s for

Businesses that have outgrown spreadsheets and separate apps

  • Teams running stock, purchase orders or quotes from spreadsheets.

  • Businesses paying for several apps that each do part of a job and don't share data.

  • Warehouses and workshops that need screens built for a scanner, a packing bench or a print room.

  • Businesses with a process that off-the-shelf software doesn't fit.

When it isn’t a fit

Bespoke Software is for tools your team logs into and works in. Work that runs in the background with no screens of its own, such as syncing data between systems, AI drafting and scheduled jobs, is our Automation and AI service.

What’s included

Software built for one business

Each build starts with how your team does the job now: who does it, where, and on what device. A warehouse scanner, a packing bench and an office desk each need a different kind of screen, and one login can cover all of them.

The software connects to the systems you already use, from your shop and your accounts to your couriers, printers, email and social channels, so nobody retypes figures between them. Where AI is useful it's given one defined job, and a person approves what goes to a customer.

We host and maintain what we build, and keep developing it after launch as your team asks for new features. The monthly charge covers the servers, storage and maintenance, and depends on the build.

Includes

Internal staff systems, Client portals, Warehouse and stock systems, Quoting and job boards, Helpdesks, Returns portals, Shipping and print tools, Content tools, Integrations with your existing systems, Ongoing development.

Software we’ve built

Software that runs an online shop and its workshop, a helpdesk assistant, a quote desk and our own client portal.

Fun Cases

Ten tools behind one login

Fun Cases sell phone cases online and print them in their own workshop. We built the software they run the business on, from stock coming in to customer service after the sale. It saves them about 20 hours of work a day, worth more than £30,000 a year.

The stock overview is shown here as an example screen, redrawn with sample data.

  • Stock management, warehouse management on handheld scanners, and stock forecasting that shows every number it used.
  • Shipping labels created through Royal Mail Click & Drop from a scan at the packing bench, and print runs started with one button for each group of orders.
  • A returns portal for customers, with scan screens for the staff who receive the parcels.
  • Content and social scheduling, an artwork resizer and product generation.
  • A helpdesk that replaced Freshdesk, with the Shopify order beside every ticket.

Twisted Tailor

AI support that works inside their helpdesk

Twisted Tailor's support team kept the helpdesk they already used. When a ticket comes in, the assistant reads the thread, looks up the customer's orders in Shopify and any return in progress, and drafts a reply from a knowledge base the team edits. It halved their support hours.

The draft goes into a review queue, shown here as an example screen, redrawn with sample data. A member of the team approves it before it's sent.

  • It only states facts found in the knowledge base or the order data, and passes the ticket to a person when it's unsure.
  • Every reply says it comes from an AI assistant.
  • Once a member of staff replies on a ticket, the assistant stops answering it.

ANYPRINT

A quote desk, from enquiry to paid job

An emailed enquiry becomes a draft quote. Claude reads the email and pulls out the customer, the reference and the items. Staff price it and send a branded PDF quote with a link to accept it online. The quote desk saves the team 8 hours a week.

The board is shown here as an example screen, redrawn with sample data. It has a column for quotes to write, quotes waiting on information, quotes sent and quotes lost.

  • Quotes that were opened but not answered are chased on day 3 and day 7, on weekdays between 9am and 5pm, and closed after 10 days.
  • The customer accepts online: they choose a quantity and turnaround, enter their details, upload artwork and agree the terms.
  • Acceptance raises an invoice in Xero and emails it. Payment status is checked every hour.
  • An accepted quote becomes a job on a second board, and artwork proofs are approved by the customer online.

The portal we run our own client work on

Our clients sign in with an emailed link to see their reports, project progress, the work we've done, proposals and invoices. We run the studio from the admin side of the same system.

The admin overview is shown here as an example screen, redrawn with sample data.

  • Recurring billing: a draft invoice appears on each client's billing day. Once we approve it, it's created in Xero, emailed and collected by Direct Debit or card. Nothing is sent or charged without approval.
  • Proposals are sent by link and accepted online, and the acceptance is kept as a signed PDF with the terms that applied.
  • An accepted build becomes a project with stages, client tasks and payment milestones.
  • WordPress maintenance: weekly updates with before and after screenshots compared, uptime checks every 15 minutes, and SSL and plugin vulnerability checks.

If a system has an API, or can export a file, we can usually connect to it. We check that during scoping, before we quote.

How a bespoke software project works

We scope the work and quote before anything is built. Builds start from £3,000, and the monthly charge depends on the servers, storage and maintenance the software needs.

  1. Scoping

We go through the job with the people who do it now, and agree what the first version needs to do.

  2. Design

We design each screen for the device and the place it's used, such as a handheld scanner, a packing bench or a desk.

  3. Build

    From £3,000

We build the first version and connect it to the systems you already use.

  4. Testing

    In test mode first

Tools that print, send or refund start in a test mode, so nothing reaches a printer or a customer until your team has checked it.

  5. Hosting and maintenance

    Monthly charge

We host and maintain the software. The monthly charge covers the servers, storage and maintenance, and depends on the build.

  6. Ongoing development

    Quoted per request

After launch the software keeps changing with the business. Your team sends feature requests, we scope and quote each one, then build it. The Fun Cases software grew to ten tools this way.
